A data flow diagram (DFD) is a graphical representation of the “flow” of data through an information system, modelling is process aspects. A DFD is often used as a preliminary step to create an overview of the system, which can later be elaborated.” A data flow diagram illustrates how data is processed by a system in terms of inputs and outputs. As its name indicates its focus is on the flow of information, where data comes from, where it goes and how it gets stored. Even with the skills of system analysis, gathering or storing information for DFD still wouldn’t be easy as you think it is. According to Hendon, “DFDs are used not only in structured system analysis and design, but also as a general process modelling tools.” Just like use case modeling. Use case modeling lists the steps and information to achieve one or multiple goals. With the help of use case, making a DFD should be easy and easy to understand, but it depends on what’s the DFD is about. There are many different levels and different types of DFD, not just one. DFD need a lot of skills, steps and a lot of information in order to make the program or project perfection, but you can’t assume that it’s perfect. Sometimes when it seems perfect, there could me one or more mistakes.2. One of the benefits of a DFD is that the diagram is broken out at different levels, beginning with a top level view of the data to be processed, called a “Context Diagram”. In a book by Shelly, he states, “You begin by reviewing the system requirements to identify all external data sources and destinations. During that process, you identify the entities, the name and content of the data flows, and the direction of the data flows. If you do that carefully, and you did a good job of fact-finding…you should have no difficulty drawing the context diagram” (Shelly, pages 205-206). Specific examples that I saw with DFD’s either looked at student processing systems of different sorts, or a product ordering system. A DFD can actually be used with any type of system, but I want to focus on the product ordering DFD example I looked at. The specific example of a product ordering system I analyzed is from a company that creates “business drawing” solutions, smartdraw.com, but it was typical of other similar systems, and can be found in the examples section of their website (Online Order System Data Flow Diagram, chart). The importance of this diagram lies in the fact that it shows what needs to happen to process an online order, without going into any technical detail, making it suitable to help anyone understand how the data will flow. Furthermore, it’s a good logical test to look at and see if anything was missed that may be required in the flow of the data.
