Memo (or letter) requesting permission to do research, addressed to executive:
Content of the Memo:
Basics of my project: You must decide on and provide this information in a brief paragraph, based on the materials given to you in class; you may change your decisions about the project if you need to later on.
Sample of Audience Analysis:
Analysis of my audience for the project:
Primary Audience: This audience consists of top level executives who make decisions that affect the entire company as a whole. They are responsible for devising strategies and formulating policies to ensure that all goals and objectives are met. They include John Smith, Chief Executive Officer; Barry Lance, Chief Operating Officer; and Terry Jones, Chief Information Officer. This group consists of motivated readers who are in need of the report to make important business decisions. These readers have the most influence.
Secondary Audience: This audience consists of middle-level managers who are responsible for carrying out the goals set by top management. They include the General Manager, Regional Manager, Vice President of Sales, Vice President of Marketing, Vice President of Operations, Quality Control Director, and Information Technology Director. This group will not be making decisions based on the report. However, they do influence the target audience as they may make comments on the report.
Education: The educational background of the primary and secondary audience includes a mix of Bachelor’s and Master’s degrees in Business Administration, Liberal Arts, Accounting, Marketing and Information Science. Other qualifications include credentials like Certified Manager (CM), Certified Management Accountant (CMA) and Certificate in Financial Management (CF). Both groups display the ability to analyze large amounts of information and data quickly and the ability to evaluate the relationships among numerous factors.
Age & Ethnicity: The primary audience is made up of Caucasian males from the United States; however the secondary audience is more diverse. Although this group is largely Caucasian males, it does include an African American, a Latin American, and females. They all have over ten years of experience in their individual positions and range in age from 40 – 57 years old.
Knowledge & Experience: The primary audience has intermediate knowledge of business in Trinidad and Tobago. On the other hand, the secondary audience is classified as novices on the subject. In order to address the needs of both groups there will be an overview of all key concepts and a reference table that will be useful to those who are more knowledgeable on the topic. This will not only serve as a refresher for the primary audience it will also allow them to access new information quickly and ultimately get everyone on the same page.
Audience Needs, Attitudes and Interest Level: The primary audience shows a high level of interest in the subject. The report needs to provide them with key insights into conducting business in Trinidad and Tobago. More specifically they need details about the economic, political and social environment in the country. The challenge here is to provide details that will let them see how much risk is involved in doing business in this country. In addition, how changes in these risk factors will affect profitability.
There is a mix of opinions towards the topic. The primary audience believes that doing business in Trinidad and Tobago could be profitable for the company. However, the secondary audience is split on this subject. Some are totally against the idea because of what they have heard regarding crime and politics in the country. The remainder is undecided at this point.
Audience Expectations: The main purpose for my intended report is to educate the audience about Trinidad and Tobago. The audience expects a factual report that sheds light on the economic, political , and social environment in Trinidad and Tobago. They need this report to gain an insight into the country, to make business decisions, and to train employees who will go overseas.
Audience Attitude to the Writer: Both the primary and secondary audience are aware I am a college student with research expertise. .
Your proposal memo or letter:
Establishes the scenario: You will need to create one for your project. It can be real or made up. For instance, you are an intern for a consulting company that specializes in working with entrepreneurial global clients. Or, you work in-house for a company with global aspirations or global expansions in progress. (NOTE: If you work in-house, your request for permission will be in the form of a memo. If you are employed by an outside firm, it will need to be a formal letter.)
In a memo (or letter, if it goes from a consulting firm to a company), make your proposal to create a training manual containing relevant, well researched input on the foreign country (one of your choosing) and specify the benefit to the company.
You should include relevant details about the report (summarize the key comparisons you expect to be making). Make it clear you will describe the cultural customs in one nation and show how they are the same or different from our own customs. You need to persuade the executive that this information can be used to train employees to act appropriately in public and in business meetings in the foreign country.
Looking ahead: In the report (not this proposal) the executive will expect sections on at least three of the following topics: nonverbal communication, language, business and casual attire, technology, climate, politics, religion, food, security issues, and attitudes toward foreigners, particularly U.S. citizens. However, other information may be included. Include this information so that it is clear what they can expect.
You might make the point that you propose to write the research paper using the APA documentation system so that others in the company can use it as a model for future formal reports.
The purpose as to why this report will be valuable should be clear, and you should clearly request permission to go ahead with it and give an estimate of time needed to complete. This memo should be addressed to the executive, not to me.
