Ms. Donna Cortez

XYZ Corporation

Dear Ms Cortez

I am the Project Analyst assigned to XYZ Corporation.

Executive Summary

Am writing to you to express my reaction towards the two articles courtesy of; article relating to PMBOK practices to Agile practices – (Part 1 of 4) and article two (Part 2 of 4). I base my reaction on the current nature of our corporation XYZ. This letter responds to three demanding projects with our satellite clients. The letter will attempt to advise your office on the best Project Management Methodology to ensure our clients are not dissatisfied with our services. To achieve this, the letter provides a clear analysis on best-practices grounded on the PMBOK, Scrum-Agile methodology and the Hybrid of PMBOK and Scrum Agile.

Reaction to readings that you assigned to me

To accomplish satisfying results to our customers, the Project Management Body of Knowledge (PMBOK) tool presents a time-conscious strategy in responding to requirements of each project. The PMBOK strategy ensures firstly, initiation of the required process (Techwell, 2006). Secondly, proper planning, this calls for the integration of the appropriate project control measure. Thirdly, the controlling process, this process entails the incorporation of expertise in the executing process (Techwell, 2006). The PMBOK encapsulation requires the lucid application of the closing process; for instance, documentation. Conversely, for some projects it is coherent to pursue the Scrum Agile Project management approach. This approach is pragmatic to respond I.T based projects which require speculation, envisioning and adoption. However, it is coherent to understand that the two will borrow ideas from each other, and to some extent interrelate. Cimolini & Cannell (2012, p. 10) explains how oracle applied the hybrid PMBOK/ Agile hybrid to achieve sufficient results at various stages of project implementation. In his words, he argues that modern day organizations are based on the flexibility notion to provide a customized strategy for rising demands.

Methodology recommendations/justifications

The PMBOK Approach

Chiefly, XYZ Company is involved in procuring and outsourcing services. Briefly mentioning; XYZ has contracted ABC Construction Company to enroll a $40 million Ultra modern corporate headquarters. To achieve sufficient results, XYZ PMO is required to apply the PMBOK guide in supervision of the construction. Kerzner (2011, p. 225) advocates that PMBOK is vital in the procurement process for its role in purchase acquisitions, plan contraction, select the appropriate contractor, contract administration and contract encapsulation. In any case, the PMBOK is vital in providing a guidance framework to be applied by the organization.

Application of the Agile Approach

The Health Crises Prevention and Response initiative with the government require Scrum agile management strategies. This is based on the knowledge that the health crises responses portal for collaboration between key governmental and private sector entities. To these requirements, this letter recommends the PMO to ensure details are well defined at the planning face of the project. In any case, the Agile management will facilitate the XYZ applies the iterative approach in to define appropriate requirements to manage crises period. This is based on the knowledge that the health project will be affecting several departments. The company is required to develop the support software solutions which will ensure data is sufficiently generated from remote government sites.

Application of the Hybrid approach (PMBOK and Agile)

Finally, this letter recommends the hybrid approach (PMBOK and Agile) to manage the Hurricane Emergency Management initiative. The client Federal Emergency Management Agency (FEMA) expects XYZ Corporation to provide IT solutions; for instance, intranets, information exchange, and facilitation of collaboration among key stakeholders. Agile approach is responsible to orient I.T based projects while PMBOK guide seeks to manage stakeholders’ role and presentation. Sliger & Broderick (2008, p. 27) joins the view of this letter comprehensively by noting that PMBOK and Agile strategies have far reaching good in reconciling management differences. In any event, PMBOK guide reflects exterior requirements inside the organizations. These requirements have been developed by the Stakeholder Strength, Weakness, Opportunities and Threats (SWOT) analysis mechanism. Subsequently, XYZ will apply internal development strategies grounded on the agile design to achieve requirements of external requirements based on PMBOK.
